Policy Overview
We will only bill to a clinic if the requisition form explicitly states that the patient is a donor. To ensure compliance and proper handling, follow the steps outlined below based on the information provided in the requisition form and the patient’s details.
Procedure
Scenario 1: The requisition form states that the patient is a donor
- Confirm that the requisition form explicitly mentions the patient as a donor.
- Proceed to bill to the clinic as instructed.
- Submit a “Supervisor Escalation” via Syncro CRM
Scenario 2: The requisition form does not state that the patient is a donor, but under billing details, it states “Bill to Clinic”
- Do not proceed with billing the clinic.
- Send a message to your CSS (Client Support Specialist) to escalate this case for further review and resolution.
- Await further instructions before taking any billing action.
Scenario 3: The requisition form does not state “donor” or “bill to clinic”
- Contact the patient and ask if they are a donor.
- If the patient confirms they are a donor:
- Inform them that their clinic must send an updated requisition form explicitly stating that they are a donor.
- Do not proceed with billing to the clinic until the updated requisition form is received.
- Document the interaction thoroughly in the case notes for reference.
Additional Notes
- Clear and accurate documentation is essential to avoid billing errors.
- Always escalate unclear or conflicting cases to your CSS for resolution.
